AUTOMATION
5 tasks business owners should stop doing by hand
Copying leads, chasing invoices, posting every day, building reports. These everyday tasks eat hours each week. Here's how simple automations can take them off your plate.
Most business owners don't run out of ideas. They run out of time. And a surprising amount of that time goes to small, repetitive tasks that a computer could do in seconds.
Automation sounds technical, but most of it is simple: when one thing happens, another thing happens automatically. Here are five tasks worth automating first.
1. Answering the same questions again and again
Prices, opening hours, delivery times, “do you work with businesses like mine?” If you type the same answers every day, set up quick replies and automatic greeting messages in WhatsApp Business, plus a clear FAQ section on your website. You still answer personally, just much faster.
2. Copying leads into a spreadsheet
Someone fills in your contact form, and you copy their name, phone and request into a list by hand. An automation can add every new lead to your spreadsheet or CRM instantly, and send you a notification so you reply while they are still interested.
3. Sending invoices and chasing payments
Creating invoices one by one and remembering who hasn't paid yet is stressful. Many accounting tools can create invoices from a template and send polite payment reminders on a schedule, so you never have to write that awkward message again.
4. Posting on social media every day
Opening Instagram every day to post on time breaks your focus. Plan and design your posts for the week or month in one session, then schedule them. Your feed stays consistent even when you are busy with clients.
5. Building the same report every month
If you collect numbers from three different apps into one report every month, that process can usually be automated. Tools like Make, Zapier, n8n and Notion can pull the data together and prepare the report for you.
How to start without getting overwhelmed
- For one week, write down every task you repeat.
- Note how long each one takes and how often you do it.
- Pick the task that is most repetitive and most boring.
- Automate that single task first, test it, and only then move to the next.
The goal is not to remove the human side of your business. It is to give you back the hours you need for clients, quality and growth. If you want help finding and setting up the right automations, let's map your workflow together.
