How to set up WhatsApp Business so it works while you sleep

Many clients prefer WhatsApp to email. These settings help you reply faster, look more professional and never leave a new inquiry waiting.

For many businesses, WhatsApp is now the main way clients get in touch. But a personal WhatsApp account mixed with family chats is messy and easy to miss. WhatsApp Business has free tools that make a big difference.

1. Complete your business profile

Add your logo, business name, a short description, address or service area, working hours, email and website. A complete profile looks trustworthy from the first message.

2. Set up a greeting message

When someone messages you for the first time, an automatic greeting can thank them, tell them when you'll reply and ask for the key details you need, such as what they need and their deadline.

3. Set up an away message

Outside working hours, an away message tells clients you've received their message and when you'll get back to them. No one feels ignored.

4. Create quick replies

Save answers to common questions, such as prices, delivery times, payment methods and how to order. Type a short shortcut, and the full answer appears.

5. Use labels to organize chats

Mark chats as “New inquiry,” “Waiting for payment,” “In progress” or “Completed.” At a glance, you see who needs attention.

6. Add a catalog

Show your main services or products with images, short descriptions and starting prices, so clients can browse before asking.

Use a wa.me link with a pre-filled message on your website, Instagram bio and email signature. One tap, and the client is already in a chat with you.

Going further

When your message volume grows, WhatsApp can be connected to your CRM, order forms or a chatbot through the WhatsApp Business Platform and tools like Make or n8n. That's when automation starts saving hours every week.
